All Present and Accounted For

Question: I hate to admit this but there are times when I’m physically with my family, but I’m not really there. Instead I’m thinking about something happening in my business. How can I focus more?

Answer: Whoa! If this were 20-years ago I’d feel like I was looking in the mirror! I’m proud to say that when my kids were growing up I made all of their school plays, piano recitals, soccer games and the other activities in which they participated. But for certain, I wasn’t always present in the moment. Did they notice that I was only there with a physical presence but not necessarily mentally? Probably not? But I knew then and I know now.

There’s a story I like to tell about a trip I took to Disneyland as a five-year old boy (no, Disneyworld didn’t even exist). I don’t have many memories of being five, but this one I remember like it was yesterday. We arrived at the park and passed by a car ride where the cars were on rails, but you had to steer and use an accelerator. I started bugging my parents to let me go on that ride, but they said I was too young. I’m sure we went on many wonderful rides, but I was obsessed with that car ride and let my parents know every few minutes. By the end of the day I had worn them down and they finally relented. Back then, there were no height restrictions regarding rides so I excitedly sat down in the car and my mom sat in another nearby car. When the ride started I had no idea what to do. At five, I didn’t have much experience steering anything other than a tricycle and I was clueless about the accelerator. So I just sat there until one of the attendants came out onto the track; stood on the running board; told me to step on the accelerator, and he steered me around the track.

Obviously this experience has stuck with me my entire life. And it also taught me a valuable lesson. I don’t remember any of the fun things we did that day – all because I was living in the future, obsessing about the car ride. As it turned out, the car ride was a major disappointment so I was 0 and 2 in the win-loss department. I didn’t live in the moment and have fun, and what I was focusing on turned out to be a bust to boot.

Multi-tasking can be a wonderful thing but it requires a balance. While the kids were growing up, I would have been better off living in the moment and savoring every precious second that they were young. Yes, I was there, but not always in the savoring mode. And here’s the kicker. I don’t believe that anything I was thinking about while watching a school play had a real meaningful impact on my career. I’m now living this premise: if it won’t make a significant impact on the future, I’ll deal with “it” later rather than allowing a distraction from what I need to focus on right now.

Living in the now will prevent regrets in the future. Thus, we can shape the future by savoring that which we are living right here and now.

Disorderly Conduct

Question: Sometimes entrepreneurial environments become wild and crazy. How do I keep from getting sucked in and swallowed up by all this confusion?

Answer: Don’t you just love it? The environment you describe is typical of a dynamic, fast-paced organization. Meetings and phone calls – one right after another; multiple deals and projects to be tended; and e-mails flying at a dizzying speeds, all add up to only one thing. Chaos. Personally, I am energized by such situations. But it wouldn’t be hard for everything to tip over and fall into the abyss, metaphorically speaking.

Managing chaos is a test in multi-tasking; thinking three-dimensionally; practicing patience; maintaining composure; having a sense of humor; demonstrating physical and mental stamina; being flexible; staying positive; thinking creatively, and communicating effectively. Whew! Seems like a pretty tall order, doesn’t it? Wouldn’t it be more productive if there was more of an orderly flow within an organization? Maybe, but chaos can produce some amazing results.

When things become chaotic, entrepreneurial leaders find out who in an organization can step up and produce results. They see clearly who wilts and who thrives under the pressure. And out of chaos can actually emerge some of the best ideas. One of the finest examples is the Empire State Building. Imagine this. Construction began in January 1930, just when the Great Depression was settling over the country. More than 3,400 workers swarmed the site and built the tallest building in the world – 1,250 feet and containing 2,248,355 square feet (the size of 47 football fields) – and they completed it in 410 days! Imagine the enormity and complexity of this project. The chaos we experience as entrepreneurs is a fraction of what must of have been present with the Empire State Building. I consider this building to be a literal and figurative monument to creating order out of chaos.

So what’s the trick to making chaos work productively and not letting it consume us? First, it’s important to ignore all of the “noise” that comes with chaotic situations. We must become expert at focusing on only that which matters – keep an eye on the prize so to speak. Block out everything else. Second, it is critical that we identify priorities in the jumble of craziness, tasks and emotions. Failure to prioritize is one of the most lethal and negative aspects of chaos. Finally, consciously look for the positive results that can emanate from chaotic situations and feed off of them. This is obviously a state-of-mind opportunity and a choice we can make. The choice is really pretty simple. We can either allow ourselves to be overwhelmed by the chaos, or we can rise above it and use it as a tool to propel our cause.

Chaos is a highly-charged energy flow. It simply has no order to it. When we are able to harness the positive energy elements of chaos, we can use the momentum to create order and attain our goals at a much higher level than otherwise possible.

The Ear and the Brain

Question: I’m struggling to communicate with a co-worker. How do I get him to listen to me?

Answer: This question sure hits home. The mind of an entrepreneur is racing at 100 miles per hour. We juggle balls of all shapes and sizes. Frequently we are on the move at warp speed. People think we listen . . . and WE think we listen. But sometimes there are complicating factors.

If I say “hello” to you, usually you will say “hello” back to me. Does that mean that I listened to you? Maybe. But it’s for certain that I heard you. Listening is more complicated than the simple act of hearing. Let’s assume that you come into my office and tell me that there’s an issue with a particular client. You describe a course of action that you want me to approve to resolve this issue. I nod. I may murmur, “uh-huh.” And you leave believing that you have my consent. A week later you tell me that the matter was taken care of although there was some fallout with the client. I give you a blank stare at which point you say, “I told you about this last week!” You get another blank stare from me at which point I might suggest how you could have resolved the issue without the fallout. In the end you are irritated because of this outcome. What happened here?

This is a real life classic example of hearing and not listening. Members of my team who read this are nodding their heads so hard right now that they’re going to get whiplash. When you came into my office I had just finished a phone conversation and was still processing the gist of it. A thought also popped into my head about a related matter, and I needed to leave for a lunch meeting. I certainly heard you but didn’t have the presence of mind to slow down and listen to what you were saying.

There are several solutions. The easiest is to make certain that I am in a listening mode. Ask me if now is a good time to chat. I may ask if we could do it later and set an appointment with you. Or, if I have time, I’ll talk then. After you are finished telling me what you have to say, ask me for specific feedback – pros and cons or other thoughts I might have. Once a course of action is determined, ask me to summarize what I understand is going to happen. This can be done by you simply saying, “I want to make sure I do this the way we have agreed. Would you mind summarizing what you understand that I am to do?”

We all know that clear communications is paramount to success. It’s critical that we make certain that the people with whom we are communicating are truly listening to us and not just hearing what we say. Ultimately it’s our responsibility to make this happen.

Time Masters

Question: I am so busy I meet myself coming and going. There isn’t a spare moment for anything. I need more hours in the day!

Answer: Each one of us has the same number of hours in the day. And yet some people seem to get more done with less hassle. Their secret isn’t on the face of a clock. The key to stretching the day starts in the mind.

When we make the statement, “there just isn’t enough time,” we are making a powerful affirmation of limitation. This becomes a mindset – a belief actually. I’ve said many times that what we believe in our minds will become reality and I’ve proven this to myself over and over. Thus, I have expunged this statement from my vocabulary – I want to create a “limitation-free zone” around myself.

I have found that once I establish a positive mindset about time, the rest comes fairly easily. Every evening before I go to bed, I plan my next day. Getting older means we’ve accumulated more mind clutter. To keep everything straight I maintain a comprehensive task list of everything that I have to do. The items to which I need to attend the following day are prioritized for that day. I use my task list and my calendar in tandem – both are electronic which makes it so much easier to function in today’s fast-paced world. The process of spending a few moments reviewing my calendar; my task list, and plotting a course of action for the next day gives me total peace of mind. I don’t wake up in the middle of the night wondering what I’m forgetting that is important.

Armed with a plan, I’m able to move through each day with a clear purpose. I block out certain times for phone calls, reviewing e-mails, and other routine functions. There’s a little sense of victory every time I’m able to “check off” a task as complete which keeps me upbeat about the progress I am making.

To become time masters, we must start with the right frame of mind and avoid putting limitations on ourselves. Then with a combination of process, purpose and focus, we move effortlessly through each day, savoring the fact that we are able to enjoy every second of it.

Peripheral Vision

Question: My career has really taken off and I’m very focused on being successful. But I also am being told that I’ve become one dimensional. How can I grow my career and still be involved with the other things that are important in my life?

Answer: Entrepreneurs often struggle with balancing their passion for their businesses with their passion for their families. I faced this conundrum more than once in my career. There were a couple of thoughts running through my mind. The first was, “I’m young and I’ll have plenty of time to focus on my family – right now my business needs me.” The second was, “There is no one else who can do what I need to do to grow my business.”

For some reason I held the mistaken belief that time would stand still, and my kids would stay small waiting for me to tend to my business. And there was also a bit of arrogance in my belief that no one else could do what I was doing. Fortunately I remembered that when I was growing up my parents – both of them – attended every piano recital, basketball game and school function in which I participated. And it meant a lot to have them there. So if it meant a lot to me I figured that it would mean a lot to my kids.

What I also discovered was that I was only juggling one ball. Think about this. I was throwing one ball up in the air and watching it land in my hand. Then I was throwing it up again and watching it land . . . day-after-day, year-after-year. Eventually I realized that I needed to throw more than one ball in the air. So I began spending more time with my family. Then I was throwing two balls in the air. But I would throw one in the air and watch it land in my hand. Then I would throw the second one in the air and watch it land in my other hand. This became very frustrating. Why? Because I was bouncing back and forth between and career and family but was neglecting one while focused on the other.

Ultimately I decided that I needed to learn how to juggle many different balls at the same time. Have you ever noticed how a really good juggler never watches the balls as they land in his hands? Instead he uses his peripheral vision to keep the balls in the air and landing in his hands. This works for us too. We must establish our life priorities – family, career, friends, philanthropy, hobbies, etc., and commit to be fully present when we are involved with each. Being fully present and living in the moment is how we use our peripheral vision.

When we give our full and undivided attention to each of our priorities we can know that none are being neglected. In so doing we can have confidence that the other balls we have in the air are going to be juggled successfully because we are giving sufficient quality attention to each.
